Engraved Organizations Terms of Service
Last updated 9 October 2026
These Terms cover Engraved Organizations, the paid service for churches and ministries at groups.stabilsystems.com. They do not change the Engraved app itself, which stays free for everyone. Please also read our Privacy Policy.
1. Who we are
Engraved Organizations ("the Service") is run by Stabil Systems LLC ("Stabil", "we", "us"), a Wyoming limited liability company registered to do business in Tennessee, 331 Bethaven Dr, Spring City, TN 37381, USA. Phone 730-226-9136.
- Support, billing questions and copyright notices: help@stabilsystems.com
- Organizations of 1,000 or more people: solutions@stabilsystems.com
These Terms are an agreement between Stabil and the church, ministry or other organization ("the Organization") that an admin signs up or pays for. The admin who accepts them confirms that they are allowed to accept them for the Organization.
2. The Service
The Service lets an Organization create groups of Bible verses, invite people to memorize them together in the Engraved app, and see progress for people who joined. It includes the leader console, email invites, reminders the leader asks for, and progress notes for leaders.
Members use the free Engraved app. There is nothing to buy in the app. Bible text licenses are separate and are listed on the app's Scripture Copyrights page.
3. Accounts and admins
Org admins and group leaders sign in with an email address and a password. The Organization is responsible for:
- keeping those sign-ins safe and not sharing them,
- removing leaders who should no longer have access, and
- what is done from its console.
Only org admins can change billing.
4. Seats and seat buckets
A seat is an active login: a leader, or a member who joined and has not left. A parent or guardian email stored for a child, with no login of its own, is not a seat.
Self-serve seat buckets are 1–25, 26–75, 76–200, 201–500 and 501–999 people. When an Organization is at or over its bucket, people already in its groups keep practicing, and new invites and joins wait until a larger bucket is paid or someone is removed.
5. Prices
Prices are shown on the Billing page in the console before you subscribe, in US dollars. There is no trial and no setup fee. Yearly costs ten times the monthly price. Organizations of 1,000 or more people arrange pricing with solutions@stabilsystems.com.
Price changes. If we change the price of a plan, we will email the Organization's admins at least 30 days before the new price applies. It applies only from your next renewal after that notice, and you can cancel before then.
Sales tax. Prices do not include sales tax. Where sales tax applies, PayPal adds it to each bill at the rate shown on the Billing page, unless the Organization has an approved sales-tax exemption certificate on file with us. An org admin can send a certificate from the Billing page. While a certificate waits for review, bills include tax at the standard rate. Once we approve it, bills from then on do not, although a bill already scheduled within about 10 days may still include tax. We do not refund tax charged before approval unless the law requires it. The Organization is responsible for the accuracy of its certificate and for telling us promptly if it is revoked, expires or changes. If an exemption turns out not to apply, the Organization is responsible for the tax that should have been charged. We add sales tax only where the law requires us to collect it.
6. Billing through PayPal
Payments are processed by PayPal Subscriptions. Stabil does not receive or store card numbers or PayPal sign-in details. We store the plan, its status, the paid-through date, the PayPal subscription id, the sales-tax rate on the subscription and, if you send one, your tax-exemption certificate (see the Privacy Policy). PayPal's own terms apply to the PayPal account used to pay.
7. Automatic renewal
Your subscription renews automatically every month or every year, as you chose, at the plan's price, until you cancel. You agree to this by ticking the box at checkout. We email the Organization's admins when a subscription starts, changes or is cancelled. PayPal also sends its own receipt for each payment.
8. Failed payments
If a payment does not go through, PayPal may try again. People already in your groups keep practicing. New invites keep working for a 7-day grace period. After that, new invites and joins wait until payment is current. Nothing is deleted because a payment failed.
9. Cancellation
An org admin can cancel at any time in the console under Billing, Cancel subscription, or from the PayPal account. PayPal stops future charges right away. Your plan stays in place through the end of the period you already paid for. After that, people already in your groups keep practicing, and new invites and joins wait until billing is current again. Nothing is deleted because you cancelled.
Stabil may suspend the Service for an Organization that breaks section 12. Before we do, we email the Organization's admins and give at least 7 days to fix the problem, unless the breach is unlawful or puts people or the Service at risk.
10. Refunds
You can cancel any time online, as section 9 describes. Your access continues to the end of the period you already paid for. We do not give partial refunds for the current period, except where the law requires a refund or if we fail to provide the Service. If you believe you were charged in error, write to help@stabilsystems.com and we will review it. Refunds we agree to are made through PayPal within 10 business days.
11. Children and parents or guardians
Children take part in an Organization's groups through a parent or guardian. Adding a child is always the parent's choice. A parent can add a child from their own account and choose whether the child's information is shared with the Organization; that choice is the parent's consent for that one Organization, and the parent can turn it off later. An Organization may add a child with no login to a group roster; nothing is checked off for that child until a parent confirms by email, claims the child from their own account, or a director records a signed paper consent form.
An adult joining confirms they are 18 or older, or older still if the Organization set a higher age, up to 21. If someone younger tries to join with a group code on their own, we keep only their sign-in email and a parent's email, and nothing is stored or shared until the parent confirms. If no parent confirms within 14 days, we delete both email addresses. An email or paper confirmation is not an identity check, and the age confirmation is the person's own statement; we do not verify age or family relationship. See the Privacy Policy.
The Organization is responsible for inviting children appropriately and for its own child-safety practices.
12. The Organization's responsibilities and acceptable use
The Organization agrees to:
- invite only people it has a real relationship with,
- keep group names, logos and verse lists lawful and respectful,
- not send spam through invites or reminders,
- not upload logos or other material it does not have the right to use,
- not try to reach other Organizations' data, or probe, overload or disrupt the Service,
- not resell the Service, and
- follow the laws that apply to it, including giving its own members any privacy notice it owes them.
13. Your data
The Organization's groups and its members' progress belong to the Organization and its members. Stabil processes them only to run the Service, as the Privacy Policy describes. Today the Service supports:
- leaders viewing and exporting group reports and slides from the console,
- members leaving a group (which deletes their progress in that group) or deleting their group account in the app,
- leaders removing members (their history is kept for the Organization),
- closed groups being kept up to 24 months and then deleted,
- a child's own join request that no parent confirms being deleted after 14 days,
- no data being deleted because billing lapsed,
- tax-exemption certificates kept for four years after they stop applying, for tax records, even if the Organization is deleted,
- payment and billing records kept for seven years, for tax and accounting, and
- server logs kept for up to 30 days.
There is no self-serve delete for a whole Organization. To delete one, write to help@stabilsystems.com and we will handle it, apart from the records we must keep as listed above. We answer requests about your data within 30 days.
14. Copyright and complaints
If you believe something in the Service, such as a group name or logo, infringes your rights, write to help@stabilsystems.com with what it is, where it appears, and how to reach you. We may remove the material.
15. Availability
We work to keep the Service running, but it is provided "as is" and "as available". We do not promise that it will always be available or free of errors. Features may change. Where practical, we will tell org admins before a material change to paid features.
16. Disclaimers and limitation of liability
To the extent the law allows, Stabil is not liable for indirect, incidental, special or consequential damages, or for lost data or profits. Stabil's total liability for any claim about the Service is limited to the fees the Organization paid for the Service in the 12 months before the claim.
17. Indemnity
The Organization will cover Stabil's reasonable costs from claims caused by the Organization's content or by its members' misuse of the Service.
18. Changes to these Terms
When we change these Terms, we post the new version here with a new date and version. For material changes we will email org admins at least 30 days before the change takes effect. Checkout asks for a fresh tick when the version changes.
19. Governing law
These Terms are governed by the laws of the State of Wyoming, USA.
